Official Board meetings take place quarterly with special meetings called when necessary.  The regular meetings usually take place on the second Tuesday of the month and are held in the Parlour starting at 7:30 P.M.

The Official Board

Meetings are quarterly, every three months, or more often. Special meetings can be called by the Chair, the Minister, the Pastoral Charge Supervisor, or the authority of the Presbytery or on request in writing by five members of the Official Board . If so, the meeting will be held within 14 days of the written request, and only the business named in that request will be transacted.

Each meeting must include the Minister and the Pastoral Charge Supervisor or a person appointed by the Presbytery.

The Members of the Official Board are as follows:

-the chairperson

-the Minister or the Pastoral Charge Supervisor

-the Members of the Session

-the Members of the Committee of Stewards

-the chairperson of the Ministry and Personnel Committee

-the chairperson of the Stewardship Committee

-the lay representatives to the Presbytery

-one representative of each of:

-the Board of Trustees

-the Faith Formation and Christian Education Committee

-the Sunday School

-the Youth organization

-the Men’s organization

-the Women’s organization

A member of the Official Board may resign or be removed. For example, if a member does not attend meetings for a year, the Official Board may give them notice that they have ceased to be a member. Also, by a process of discipline, a member may be deposed.

The duties of the Official Board are as follows:

-a general report to the congregation on the life and work of that congregation, derived from reports submitted to the Board by all committees at least one week prior to the Annual Meeting. It is recommended that this annual report be printed and circulated among the members of the congregation.

-completion of the annual Pastoral Charge statistical forms to be submitted no later than February of each year.

-to elect representatives from the congregation to the Presbytery.

-to make available to the congregation reports on actions of the Presbytery, Conference and General Council.

-to secure contributions for the work of the Church, including the Mission and Service Fund.

-to authorize borrowing funds.

-to give orders and directions to the Board of Trustees concerning property.

-to represent the congregation, especially to deal with matters of amalgamation, realignment, reconstitution, or the disbanding of the Pastoral Charge or the congregation.

-*to transmit to the Presbytery from the Pastoral Charge representations concerning the pastoral relationship." VERBATIM (not clear or specific)

-to look after any matters that involve the joint interests of the Session and/or the Committee of Stewards and/or the Board of Trustees (any two of the above.)

-to look after matters that may affect the congregation and are not assigned to any of the other committees within the congregation.

Chairperson

Elected at the Annual Meeting by the congregation, this person will hold office for one year until the next Annual Meeting. Any member of the congregation in good standing is eligible, including the Minister and the Pastoral Charge Supervisor.

The duties of the Chair are as follows:

-to preside at meetings

-to keep order

-to take the vote

-to announce the decision

-to vote only in case of a tie

Secretary

Elected from among the Members of the Official Board, this person shall:

-keep the record of proceedings

-conduct the correspondence

-preserve all documents

-transmit the records annually to the Presbytery

Treasurer of the Mission and Service Fund

A separate person will be appointed. The duties are as follows:

-receive all monies for this Fund.

-keep a record of individual givings.

-keep an account separate from other funds of the congregation.

-remit monthly to the General Council the amounts received.

-report upon contributions received to the Stewardship Committee.

-present a complete audited report to the Official Board and to the annual meeting of the congregation.
